CLaaS™ Reports Tips & Tricks
Phasient CLaaS Reports has many exciting new features for administrators and learners. In addition, CLaaS Reports introduces a new role, the Poweruser, that allows expanded administrative control within your organization. Read on for more information.
Expanded Administrative Control
The new Poweruser role provides expanded administrative control for a few selected users at your organization.
Call Phasient at 877-430-3821 to ask about assigning Poweruser status to someone at your organization.
Create License pools for subgroups (Powerusers only)
Create a license pool for a subgroup to limit the number of learners and courses in that group. To create a license pool, select the group in the Groups pane then click the Create License Pool icon in the toolbar. In the dialog box that appears, enter the number of user licenses in the Adjust Total field and click Create.
Import users from a spreadsheet (Powerusers only)
Quickly import a large number of users from a spreadsheet. To import users, select the top-level group then click the Import Users icon in the toolbar. Browse to the location on your computer or network where the .CSV file is located and click OK. The data in the spreadsheet must be formatted exactly as in this template, and must be saved as a .CSV file.
Import AICC- and SCORM-compliant courses (Powerusers only)
Import AICC- and SCORM-compliant courses created in other authoring tools or purchased from other vendors. To import a course, select a group in the Groups pane then click the Import Course icon in the toolbar. Browse to the course on your computer or network drive and click Submit. Imported courses must be AICC, SCORM 1.2, or SCORM 2004 compliant, and must be in a .zip file.
Edit course properties (Powerusers only)
Edit course properties such as the course title, viewer size, search tags, and more. Select the course in the List pane. In the Properties pane, edit the properties, and click Save Changes.
Retire courses/course sets (Powerusers only)
When a course or course set is no longer in use but you need to retain the report data, retire the course. To retire a course/course set, right-click on the name of the course/course set and select Retire Course or Retire Course Set from the pop-up menu that appears.
Create Course Categories (Powerusers only)
Create categories that learners can use to organize their courses on the My Courses page. To create a category, select a course or group then click the Create Courses Categories icon in the toolbar. In the dialog box that appears, enter a name for the category in the Category Name field, click Add and click Save. To add a course to a category, select the course in the List pane, select a category from the Category drop-down list in the Properties pane and click Save Changes.
Create a catalog of self-assignable courses (Powerusers only)
Creat a catalog of courses that users can assign to themselves. To define a course as self-assignable, select the course in the List pane, check the Allow course to be self-assigned box in the Properties pane, and click Save Changes.
New or Enhanced Tools for All Administrators
In addition to the features available in previous versions of CLaaS Reports, CLaaS Reports has a number of new or enhanced administrative features that make it easy to register your learners, organize and assign courses, and track eLearning progress.
Access CLaaS Reports tutorial and online help
Learn how to use CLaaS Reports in a safe, "goof-proof" environment by launching the CLaaS Reports tutorial, available for self-assignment in the Course Catalog. When working in CLaaS Reports, click the Help icon in the toolbar to open the CLaaS Reports online help for step-by-step instructions for each task.
Create user lists
Assign courses to and generate reports for selected users by creating a user list (even if the users are in different groups). User lists are administrator-specific: you are the only person who can see the user lists that you create. To create a user list, select a group in the Groups pane then click the Create User List icon in the toolbar. In the dialog box that appears, enter a name in the User List Name field and click Submit. To add someone to the user list, select their name in the List pane and drag it down to the user list in the User Lists pane.
Reset passwords for a user, group, or user list
Quickly reset the password for a single user, all the users in a group, or all the users on a user list. To reset passwords, right-click on the name of the user, group, or user list and select Reset Passwords. In the dialog box that appears, enter the new password in the New Password and Confirm Password fields and click OK.
Track the total number of users vs. active users
Track the total number of user licenses and the number of active users in a group by selecting the group in the Groups pane. The properties for that group will be displayed in the Properties pane (the lower right section of the window).
Create course sets and assign prerequisites
Organize courses into sets for easier and faster assignment to learners, and to assign course prerequisites. To create a set, select a group, course, or course set then click the Create Course Set icon in the toolbar. In the dialog box that appears, enter a name for the set, click Add Course to access the list of available courses, select the box for each course to include in the set, and click OK.
To assign prerequisites to a course, select the course from the course list, click Add Prerequisite, select the prerequisite course(s), and click OK. Select a prerequisite from the list, click Update Prerequisites, and specify the completion status, success status, and/or post-test score needed to satisfy the prerequisite requirement.
Delay a course assignment
Assign a course today to become available to learners on a later date. To create a delayed assignment, select a user, group or user list then click the Assign Course icon in the toolbar. In the dialog box that appears, select the course and click Advanced. Check the Delay Assignment Until box, specify the date that the course will become available, and click Assign.
Auto-reassign a course
Specify if a course is to be automatically reassigned to users who fail the course. To set a course to auto-reassign, select a user, group, or user list then click the Assign Course icon in the toolbar. In the dialog box that appears, select the course and click Advanced. Check the Re-assign course if failed, specify the number of times to re-assign the course, and click Assign.
Create a catalog of self-assignable courses
Create a catalog of courses that users can assign to themselves. To define a course as self-assignable, select the course in the List pane, check the Allow course to be self-assigned box in the Properties pane, and click Save Changes.
Find a group, user, course, or course set
Search for a group, user, course, or course set by entering your search term in the search field above the List pane and clicking Search. Limit your search to your exact search term by checking the Exact box, or to a single category by selecting that category from the Search Type drop-down list.
Customize a report
Include only the report information that matters to you. To customize a report, click the Control Panel icon at the top of the report. Uncheck the boxes for the information that you don't want to include in the report and click the Refresh Report icon.
Email Users
To email users in a report, click the Email Users icon at the top of the report. In the window that appears, compose the email message and click Send.
New or Enhanced Tools for Learners
CLaaS Reports now offers several tools for learners to help them customize their eLearning experience and track their own progress.
Reset your own password
Reset your own password at any time. To reset your password, click the Profile button on the My Courses page. Enter your current password in the Old Password field, enter your new password in the New Password and Verify Password fields, and click Save.
Change how courses are organized on the My Courses page
Organize your assigned courses on the My Courses page by completion status, course set, or course category. To change how courses are organized, select an option from the Group Courses By drop-down list next to the Course Assignments header, and click Save.
Assign yourself courses from a course catalog
To assign yourself a course from the course catalog, click the Course Catalog button on the My Courses page, check the box for each course you want to assign, and click Register.
Generate your own curriculum report
Generate your own report to check how you are progressing in your eLearning curriculum. To generate a learner curriculum report, click the Curriculum Report button on the My Courses page.
Search your assigned courses
Learners can search their assigned courses for keywords or phrases. To search courses, click the Search button on the
My Courses page.
Edit my profile information
Update your profile information at any time. To edit your profile, click the Profile button on the My Courses page, edit the information in any field, and click Save.
